Privacy policy

Draft template. This page is placeholder wording that describes what DogBookings actually stores and does. It has not yet been reviewed by a solicitor and will be replaced with a final policy before launch.

1. Who we are

DogBookings is the data controller for the personal information you give the platform. Contact us via Account → Contact support. Providers who keep their own records of your bookings (for example in their own diary or accounts) are independent controllers of those records.

2. What we collect

Your email address and name; your household's address and postcode (used to pre-fill searches and show distances); your dogs' profiles (including temperament, diet, medication and handling notes, which can be sensitive) and any documents you upload (such as vaccination records); bookings, payments and refunds; reviews, messages, photos and video exchanged around bookings; support messages; and activity and audit records of changes made to your account (who changed what, when, including changes our support team makes for you). We do not store your card details; payment is handled by Stripe.

3. Why we can use it

We process your data to perform our contract with you (running your account and bookings end to end: matching, payment, confirmations, reminders, receipts, cancellations, refunds, reschedules and disputes); for our legitimate interests in keeping the marketplace safe and honest (provider vetting, listing checks, incident records, audit logs, preventing abuse); to meet legal obligations (tax and payment records); and with your consent for push notifications, which you can turn off any time in your device or account settings. We don't sell your data and we don't use it for third-party advertising.

4. Who sees it

Providers see what they need to deliver a booking you made with them: your name, household, the dogs on the booking with their care profiles, and any documents a listing requires. Where the provider cares for the dogs themselves (walking, home visits, grooming, training, boarding, daycare), booking with them also gives them access to your household's dog profiles as a whole, so they can look after any of your dogs you later book in. This is flagged when you book. Field and pool hire carry no dog profiles at all. They can only message households who have booked with them, at most one broadcast a day. Our support team can view and, where you ask for help, change your records; support can also sign in as your account to see what you see. Every support action, including that, is recorded in an audit log and attributable to a named administrator.

5. Who processes it

We use the following processors to run parts of the service: Supabase (database, file storage and sign-in), Stripe (payments and provider payouts), Resend (email), and Vercel (hosting). Each processes your data only to provide their part of the platform, under contracts that meet UK GDPR requirements.

6. How long we keep it

Booking and payment records are kept as long as tax and consumer law require. Deleted dogs and documents are purged from our systems after 30 days. If you ask us to erase your account, your profile is anonymised and your login removed; only the legally required booking and payment history survives, pointing at anonymised records.

7. Your rights

You can download everything we hold about you from Account → Export my data, correct your details in the app, object to or restrict processing, and ask for your account to be erased. We'll respond to requests within one month. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

8. Cookies

We use only the cookies needed to keep you signed in and remember your device preferences: no advertising or cross-site tracking cookies.
